JOB DESCRIPTION: This classification is to be used in departments/schools at Emory University. Administers Human Resources policies and procedures and related forms for a department or a division. Coordinates compliance with organizational policies and procedures. Completes required forms/documents, reviews for accuracy, and processes. Advises or refers individuals to the appropriate staff for guidance on human resources issues. Advises supervisors/managers and prepares required paperwork to process job reclassifications and to establish and post new positions. Assists in creating/updating departmental position descriptions. Processes required payroll paperwork. May assist in preparing and monitoring departmental budgets. May supervise support staff. Assists in human resources related education/training efforts within the department. Utilizes database management, word processing, spreadsheet and/or other computer applications. Performs related responsibilities as required.

Reporting to the Sr. Human Resources Manager, the Human Resources Associate will support the administration of the day to day operations of the human resources functions in the Nell Hodgson Woodruff School of Nursing. The Human Resources Associate will contribute to the overall success of the school by performing duties that assist the faculty, staff and students with HR related questions and concerns.

TYPICAL DUTIES

Day-to-Day Operations

  • Processes FMLA and other employee leave requests

  • Serve as the primary liaison for Emory Temporary Services and student employment positions

  • Manage all activities related to bi-weekly time keeping and maintenance and payroll adjustments

  • Maintains employee online directory

  • Ensures payroll is administered appropriately for all staff

  • Supports the Sr. HR Manager and Director of Faculty Affairs in the administration of part time faculty hiring and payment processing

  • Manages the electronic and paper HR files.

Employee Recruitment

  • Posts new positions for staff and students to the Emory‚Äôs HR portals

  • Serves as a liaison with the HR recruiters

  • Coordinates advertising strategy for all open positions

  • Supports managers in transferring highly-qualified candidates into their queues and managing the resume review process

  • Supports managers in scheduling phone screens and interview panels

Employee Onboarding

  • Coordinates all aspects of the onboarding process for new employees, including welcome lunches, meet-and-greet sessions, and prepares office and technology support

  • Organizes mentoring program for new employees

Employee Retention

  • Assists with coordinating anniversary and birthday messages from the School of Nursing to employees

  • Assists with planning All-Staff Meetings

  • Assists with tracking professional development activities among staff

  • Assists with organizes special events for staff milestones, including retirements, anniversary celebrations, and departure events

Employee Departures

  • Supports the Senior Manager of Human Resources in managing staff exits, including completing required paperwork and updating Peoplesoft

  • Schedules exit interviews and coordinates the exit survey process

Employee Communications

  • Develops draft announcements welcoming new employees using templates provided by the Office of Communications

  • Drafts HR-related memos for Sr. Manager of Human Resources

  • Effective communication skills
